Switching daycare software: the no-data-loss playbook

Export everything, move in an afternoon, and make the change a non-event for families.

Programs stay on software they dislike for years because switching feels risky — photos, billing history, parent goodwill. Sequenced properly, the whole thing is two calm weeks and one busy afternoon. Here's the playbook.

Week 1–2: Export everything (while access still works)

Use the platform-specific guides — Brightwheel, Lillio/HiMama — or the universal checklist: roster + contacts, attendance history, billing detail per family (CRA: 6 years), year-end receipts, photos/videos (support request — this is the long pole), medical/allergy notes, signed forms, staff records and hours. Verify the files open and cover the full date range before you trust them.

Pick the cutover date

First of a month, never mid-billing-cycle, ideally a calm season. Tell staff first, then families (template below), then cancel the old platform after the new one is live and verified — a few days of overlap is cheap insurance.

The parent message (steal this)

"Hi families! On [date] we're moving our daily updates, photos and invoices to a new app called Mitten. One thing to do: tap this link and you're in — no app store, no new passwords to manage. Your [Month] invoice will come from the new system. Everything else stays the same. Questions? Grab me at pickup."

Setup afternoon (the actual switch)

  1. Import the roster CSV; create rooms and assign children.
  2. Configure billing plans/tuition per family; set the first invoice date to the cutover.
  3. Invite staff; post one practice update per room.
  4. Send the parent link; watch joins roll in same-day when there's no download barrier.
  5. Overlap week: run both, then export a final delta (any last photos/records) and cancel the old platform in writing.

How long does switching childcare software take?
For an owner-operated program: data export over a week or two (photo exports from support are the slow part), then actual setup on the new platform in an afternoon — roster import, rooms, billing plans, parent invitations. The overlap/transition week is for comfort, not necessity.
When is the best time to switch daycare software?
The start of a month (clean billing cutover) and outside September. Many programs pick a mid-winter or early-summer month. Don’t switch mid-billing-cycle unless you enjoy reconciliation.
Will parents be annoyed by a software change?
