How to cancel Brightwheel (without losing anything)

The right order of operations: export, confirm terms, notify families, then cancel.

Cancelling childcare software is mostly about sequencing — done in the right order it's painless; done backwards you lose photos and billing history families will ask about for years. Here's the order.

1. Check your contract before you announce anything

Find your agreement (or ask your account manager for it): monthly or annual? When does it renew? Is there a notice period? Annual plans commonly renew automatically — a well-timed cancellation beats an argument about a surprise renewal charge.

2. Export everything first

3. Plan the family transition

Parents experience the change as "my daily photos moved." Make it a two-line message: what's changing, what they need to do (usually: click one link), and the date. Run both systems for a few overlap days if you can — it converts anxiety into a non-event.

4. Cancel in writing

Cancel via your account settings or account manager, and get written confirmation of the final billing date and access end date. Screenshot your confirmation. If payments/tuition ran through the platform, confirm the last payout date and reconcile it against your bank.
